    Role synopsis:

    The Contract Support Specialist III will be accountable for managing BP programs and preparing operating agreements for Jobber Outlet Incentive Program (JOIP) contracts and the de-branding activities. The role will be accountable for preparing contract agreements for various Channels of Trade including US Dealer and Franchise businesses. The role will work directly with the internal Sales team, Legal and external customers to manage contracts and administer various programs, across all branded channels. Additional accountabilities are reporting, loan processing activities, and participation on applicable business calls. The Contract Support Specialist will also handle ad-hoc business requests relating to specific needs. This position requires a strong attention to detail, the ability to effectively communicate and the ability to identify improvement opportunities.

    Key accountabilities:

    Handle work load accordingly on behalf of the GBS

    · Prepare brand jobber and franchise agreements as requested by various business departments

    · Track and monitor contract compliance and action renewals per legal requirements

    · Prepare Renewal/Non-renewal of operating agreements and monitor to completion

    · Review, maintain, and report contract agreement status

    · Administer the Jobber Outlet Incentive Program and refresh contracts utilizing the Customer Financing Database (CFDB)

    · Responsible for calculating/collecting customer financial obligations and working closely with Finance to keep accounts reconciled and current

    · Record financial entries accurately into SAP

    · Receive master lease agreements from Legal to setup land lease payable contracts

    · Build payable and receivable contracts in SAP RE

    · Facilitate Customer Master requests for the business for new customer master requests

    · Responsible for day of changeover activities for new facility opening or existing facility closure, which may include collection of fees, Paypoint updates, updating business systems, and sending proper notification

    · Set up, activate and monitor contracts in SAP RE

    · Process annual CPI and rental adjustments

    · Assist with EFT validation for SAP RE contracts settlement postings

    · Monitor and track property leases and keep records of property values and rents

    · Point of contact for escalations on commission payment and end of month fuel settlement questions

    · Ability to manipulate data in excel, using intermediate to advanced formulas

    · Responsible for ensuring processes and delegations are followed in accordance with internal company policies

    · Responsible for managing the JOIP de-branding activities for site locations

    · Notification to Sales with remaining balance and financial obligation owed after a de-brand

    · Work closely with other parts of EoR FVC MS&S (Legal, Marketing, FC&A, etc.) and various GBS towers in evaluating new offers and creating more efficiency in support of existing offers

    · Ensure all contracts are being maintained accordingly in MOSS and retention

    · Delegation of Approval for invoices up to $100K, which is monitored under CET 413.1

    · Familiarity of the Internal Rate of Return (IRR) model

    · Active engagement with business partners and stakeholders

    · Ability to create and maintain detailed process documentation for areas of support utilizing KM standards

    · Support Business and Field Support staff in the areas of the contract compliance and other various processes areas for the Contract Management team

    · Utilize Siebel to create and track service requests

    · Proactively ensure closed loop resolution and customer satisfaction using Siebel or CRM tool

    · Complete special projects as required

    · Ability to identify risks/opportunities and develop continuous improvement solutions

    Essential Education:

    · High School Diploma or equivalent

    Desirable criteria and qualifications:

    · SAP experience

    · 6 hours of college level accounting courses or equivalent work experience

    · Strong proficiency with Microsoft Excel and Word applications

    · Demonstrated ability to read and understand contracts

    · Experience with document management systems

    · Strong numeracy and analytical skills

    · Demonstrate problem solving, multi-tasking aptitude and ability to meet deadlines

    · Ability to deliver on project activities individually and within the team

    · Ability to identify and implement process improvements initiatives

    · Ability to successfully prioritize and complete multiple requests in a fast-paced environment

    · Demonstrated record of delivery on value adding projects and programs

    · Conveys information fluently, interprets and clarifies details, and explains rationale

    Essential experience and job requirements:

    · 3-5 years’ experience with roles supporting sales, supply, marketing and/or finance organizations

    · 2-3 years customer service experience

    · Proficient Experience with Microsoft Office Suite Applications
