  • Responsibilities

    Position Summary:

    Performs professional accounting and bookkeeping activities at a level requiring knowledge and application of general accounting theory, techniques and practices knowledge of the University general accounting systems. This position requires the ability to communicate on a professional level with faculty, staff, students, and other departmental personnel from diverse backgrounds, as well as the ability to work independently and as part of an experienced, and highly effective administrative team.

    Responsibilities:

    Reconciliation and Auditing of data/activities (30%)

    • Develop monthly ledger reconciliation and analysis. Prepare routine monthly financial reports and reviewexpenditures. Maintain accounting reconciliation and expense transaction files.

    • Investigate, obtain and verify missing back up documentation for all expenses.

    • Analyze ledger accounts to determine accuracy of expense entries, investigate timing differences or errors, working cross-functionally to correct, examine account documents to ascertain that transactions are properly supported in accordance with University policy and procedures; initiate corrective action or recommended solutions as appropriate.

    Processing (30%)

    • Prepare and process journal entries, purchase orders, supplier invoice requests, deposits and expense reimbursements, as needed. Check reasonableness of all reviewed expenses and examine accounting documents to ascertain that transactions are properly supported in accordance with University and sponsor policies and procedures.

    • Maintain all accounting transactions documentation including scanning and filing materials.

    • Monitors purchase orders for the WCI ensuring that they are not overspent or expired.

    • Manage departmental Purchasing Card

    Space/Equipment Management (10%)

    • Equipment Inventory, Equipment Maintenance, and Telecommunications Planning.

    • Maintenance of equipment inventory database, tag equipment,process related paperwork for Plant Accounting Office for equipment disposition.

    • Reconcile monthly telecommunications statements.

    • Prepare new telecommunication requests, facilities work orders and changes to equipment.

    Finance Office Admin (20%)

    • Manages office organizational details, supply ordering, and procedures to ensure an efficient, and prepared work environment. Receive packages for department administration and labs.

    Perform other related work as required (10%)

    Qualifications:

    • 3-4 years of related work experience; or an equivalent combination of education and experience

    • Ability to thrive in a high-volume work environment

    • Excellent communication and customer service skills

    • Superior organization skills

    • PC experience (Excel required, Outlook and Word preferred)

    Preferred Qualifications

    • AAS degree in Accounting/Bookkeeping

    • Advance skill level in Microsoft Office/Excel and related office applications required.

    Pay Range

    Pay Range: $19.37 - $27.12 Hourly

    The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, experience, qualifications, expertise of the individual, and internal equity considerations.
