Job Description: This position reports into the Enterprise-wide Project Management Office (PMO) and will receive guidance from the Head of the Enterprise-wide PMO and indirectly from the Executive Steering Committee. The role is at the Enterprise project portfolio level and includes the following activities:
General Regularly gather, report and analyze data/status on projects for the enterprise project portfolio. Prepare project portfolio reports for senior management. Coordinate the Project Change Control process Track and report project success criteria and ROI. Maintain the monthly Enterprise PMO calendar of events (schedule meetings, publish communications, prepare materials). Assist with the annual call for Business Case process. Assist with the Open House for Ideas and New Initiative Forum. Coordinate and participate in project deep dives, and debriefs and project consulting Maintain the Enterprise PMO SharePoint Sites
Communications and Reporting - Develop project portfolio reports. - Maintain project support documentation and templates - Liaise with Project Managers and IT Relationship Managers for project status, project change control and updates. - Work with the Enterprise PMO Financial Analyst to assist Head of and Reporting in preparing reports and presentation materials for multiple audiences including Senior Management.
Project Documentation - Maintain Enterprise PMO documentation and references on the "Source" (SharePoint). - Maintain and update templates and tools to support the Enterprise PM framework - Manage, organize, and maintain the Enterprise PMO artifacts and communications. - Keep data current and accessible in Enterprise PMO applications, spreadsheets, documentation
Metrics and Success Criteria - Establish, maintain and ensure adherence to application standards for data reporting and extracting. - Ensure adherence to corporate data security requirements for the storage, transportation and retention of data.
Project Manager support - Assist the Project Managers and others in the organization to understand appropriate procedures to management projects, track and report project status and financials.
Skills and Requirements: . Highly professional all around, able to interact with senior executives. . Excellent verbal and written communication skills. Able to communicate complex information clearly and concisely. . Sound professional judgment. . Able to analyze project status and make sound recommendations. . Able to prioritize and manage multiple tasks. . Able to work independently when required and collaborate across the organization. . High attention to detail. . Broad-based exposure to project management and system development methodology is preferred. . Excellent PC skills including strong Excel skills.
Desired or Preferred: . Experience with administering SharePoint. . Experience with MS Scheduler/MS Project and Project Portfolio Management Tools (PPM tools) . Experience writing policy and procedure documentation. . Training and/or meeting facilitation experience . Understanding of PMBOK, and general project management methodology. .
