General Purpose of Job
The Financial Assistant will provide administrative and entry-level financial support in a fast paced dynamic environment. The incumbent will ensure a high level of confidentiality as the communication gatekeeper and will be responsible for responding to phone calls and e-mails in a professional and timely manner. The incumbent will make travel arrangements and will process expense reports in a timely fashion. The incumbent will also assist in the preparation of financial presentations, reports, letters, and documents in a timely basis and ensures documents are printed and prepared for meetings. This will represent approximately 25% to 50% of the job duties.
The Financial Assistant will also provide support to all areas of the finance department, including financial reporting, budgeting, financial planning and analysis, and compensation and sales reporting. The incumbent will be expected to learn the aspects of each of these roles and be able to step in as needed and perform the day to day entry-level activities of many of these functions. This will represent approximately 50% to 75% of the job duties.
Initially, the Financial Assistant will be more focused on providing administrative support, likely exceeding 50% of their time. As the incumbent learns more about the finance department this time allocation will transition to the 25% to 50% range.

Essential Duties and Responsibilities
Administrative Support
* Maintains calendars, schedule meetings and appointments with internal and external customers and coordinate arrangements and activities as appropriate
* Effectively tracks and manages a heavy volume of email messages, calendar events and other communications; appropriately escalate issues in accordance with business needs
* Develops and preparse Excel, Word and PowerPoint documents and presentations
* Answers and screens telephone calls and prepare responses to correspondence
* Make travel arrangements and enter travel expense reports in ARIBA for reimbursement
* Conducts purchasing activities and disbursement requests related to various expense activities; process invoices/payments as appropriate
* Manages extremely sensitive and proprietary information with discretion and confidentiality
* Takes meeting minutes and forward to appropriate committees on a timely basis
* Other administrative and project related duties as assigned by manager, including event planning and coordination
Financial Duties
* Coordinates annual budget process, serving as lead budget coordinator with various administrative assistants, including directing best practices, consistent methodologies, etc.
* Coordinates the monthly actual versus budget expense comparison and reporting with various administrative assistants, including directing best practices, consistent methodologies, etc.
* Assists with year end broker bonus processing, including communications, check requests, payment tracking, etc.
* Produces and sends periodic broker bonus reports to field representatives and field management
* Assists with the processing of monthly compensation for sales representatives
* Assists with the manual credit process for the monthly sales report
* Coordinates the quarterly production of the earnings memo, Q&A, board presentation, QMR presentation, etc.

Job Requirements


Education and Experience
* College degree preferred
* Experience in an administrative capacity preferred
* Advanced level use of Outlook software; strong experience with Microsoft Excel, Word and PowerPoint
* Team Player with a positive attitude who embodies our leadership expectation of optimism
* Willingness to do "what it takes" to help maintain high level of performance and ensure projects are completed
* Extremely well organized with the ability to prioritize
* Must be extremely detail oriented with the ability to multi-task
* Excellent verbal and written communication skills, strong detail orientation and the ability to make quick decisions required
* Sense of urgency and accountability; reactive to the changing business needs
* Proactive approach in problem solving and attention to detail
* Ability to foster strong internal and external working relationships
* Ability to make sound decisions, use professional judgment and work in a fast paced environment
* Ability to maintain a high level of confidentiality is required
