Provides high level administrative support to the Sr. VP & General Manager to ensure efficient operation of the Executive office and maintenance of positive internal and external relationships.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Provides support for Sr. VP & GM including reports, presentations, travel arrangements, preparation of expense reports and creation and maintenance of daily schedule. Communicates and handles incoming and outgoing telephone, paper and e-mail communications on behalf of Sr. VP & GM Ensures Government officials, Promoters, Clients and Patrons contacting the Sr. VP & GM are treated in a professional and respectful manner to build and maintain positive relationships for our Center Oversees and processes ticket requests for VIP's in conjunction with the ticketing office. Participates in Senior Staff meetings, preparing agenda in advance and follow up notes in arrears. Researches and negotiates office equipment and supplies purchases and ensures maintenance and repairs are scheduled in a timely manner Ensures event liability insurance certificates are accurate and in place Communicates with event promoters to ensure contractual obligations are dispensed in a timely manner Provides core support for IT network including systems and network upgrades, application administration, problem identification and solution including arrangements for outside contracting when required Maintains accurate and up-to-date event calendar for access by all departments Maintains accurate and up-to-date contract database for events. Oversees employee parking arrangements for Center staff and coordinates with Operations Department relative to parking needs for VIP's, clients and guests All other duties as directed by the Sr. VP & GM or his/her designee.
SPECIFIC JOB KNOWLEDGE, SKILL AND ABILITY
The Executive Assistant must possess the following knowledge, skills and abilities and be able to explain and demonstrate that he or she can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities.
B.A. degree in Business preferred. At least 5 - 7 years prior related experience supporting at the executive level ideally in the entertainment or sports industry Ability to effectively interact with all levels of management, promoters, suppliers, guests and visitors Ability to multi-task, prioritize and problem solve in a fast-paced environment Ability to work nights and weekends on an as needs basis Excellent organizational skills Excellent verbal, written and public relations skills Working knowledge of IT systems Proficient with Microsoft Word, Excel, PowerPoint and Outlook
