Job Title Executive Administrative Assistant Location Radnor, PA, US Detailed Description Under general direction of assigned for Account Executive for Relationship Management, the incumbent successfully performs a variety of advanced, comprehensive administrative duties for the Relationship Management Account Executive, within established departmental guidelines and in an efficient and timely manner. Also assists in the management of the organization and leads, manages and/or participates on project teams as needed. Project coordination skills are necessary. * Answer, tactfully and appropriately screen and route all incoming telephone calls * Strong customer service skills * Excellent writing skills * Must be comfortable and respectful to associates at all levels of the organization * Strong organizational skills * Sort, review and distribute mail, including highly confidential information and identify and forward all calls and correspondence requiring either the manager's or other personnel's attention * Compose, review and respond to confidential correspondence, including but not limited to electronic mail, letters, reports, memoranda, personnel information and meeting minutes notes with instructions from the manager * Manage calendar, schedule meetings and appointments, coordinate travel arrangements, prepare itineraries, maintain attendance records for the department and plan and coordinate special events * Prepare, analyze and escalate budget issues, including expense reports, check requisitions and resolve discrepancies * Anticipate, actively listen, and proactively identify issues and seek appropriate resources to resolve situations * Follow-up on issues to assure resolution and use judgment in determining which situations to bring to the manager * Assist in preparing information for meetings and presentations * Greet and direct visitors and act as a primary resource for internal and external contacts, facilitating a professional image of LFD * File and photocopy materials, including management and maintenance of files * Maintain and complete general business forms * Proofread documents for grammatical and typographical errors * Order supplies and coordinate routine maintenance and repairs to office equipment Job Requirements * Excellent oral and written communication skills with the ability to maintain credibility and confidentiality * Excellent interpersonal skills with the ability to work well with individuals at all levels of LFD * Accurate, timely and consistent analysis, summarization, prioritization, organization, time management of multiple projects and follow-up skills in a time critical, fast-paced changing, and high accountability environment * Team-player * Typing skills of 50-60 wpm with a high degree of accuracy * Excellent judgment, discretion, and demonstrated ability to make appropriate decisions as needed * Detail and quality oriented * PC/Software skills; Required: Advanced PC skills (MS Office Suite: Word, Excel, PowerPoint, Outlook), web-based inquiry and/or reporting tools, internet preferred * Qualifications or previous experience: * High school diploma or equivalent; college degree preferred * Extensive administrative support experience including supporting a senior level executive * Financial services industry experience preferred.
