Description The Branch Office Administrator within UBS International, works with the Complex Director and the entire Management Team in coordinating branch events, the onboarding on new hires, maintaining personnel files, scheduling appointments, travel arrangements and assisting clients with general information for the Complex Director.

Key Responsibilities:

. Provide administrative and project support, as required
. Organize and maintain paper and electronic files
. Maintain records for staff office space, phones, parking, company credit cards and office keys
. Review and approve e-time, where applicable
. Coordinate new hire orientations and paperwork process, where applicable
. Arrange and schedule meeting/conference/training venues
. Participate in/contribute content to market area conference calls
. Coordinate and plan branch office business meetings and various activities, as needed
. Schedule appointment/maintain calendar(s)
. Handle internal and external correspondence
. Prepare documents and presentation materials
. Make all travel arrangements and prepare travel and expense reports
. Prepare invoices for processing/payment
. Answer client inquiries or redirect them to the appropriate person
. Assist with training on new processes and for new branch office administrators in the branches
. Schedule training courses/meetings/appointments, including liaison with internal and external contacts (clients, suppliers, financial advisor's, etc.)
. Adhere to firm administrative and risk management guidelines and policies
. Support and drive strategic firm initiatives
Requirements *A minimum of 2 to 3 years recent work experience as an Branch Office Administrator, preferably from the Financial Services industry
*Candidates must be proficient with Microsoft Suite Applications, including Word, Excel, Outlook & PowerPoint
*Bachelor's Degree is helpful but not mandatory
*Experience with coordinating corporate travel and expensive reporting a plus
*Bi-lingual language skills, Spanish & English a plus
*Above average customer service skills
*Excellent written and verbal communications skills
*Looking for a motivated team player who is also a self starter and highly organized
