(Investment Representative - IR)
Overall Responsibility:
Accountable to provide administrative support to IAs. Contributes to the success of the IA by ensuring timely & accurate completion of assigned tasks.
The role may include but is not limited to:
preparation & maintenance of client documentation; providing telephone quotes; administration of client accounts, responding to general client inquiries (account status, cheque request, margin/cash calls, registrations/dividend claims), non-complex problem solving, provide assistance with marketing initiatives, reception, file maintenance, photocopying, document/presentation preparation, liaison with various Back Office departments for execution of client requests and problem solving and other branch duties as assigned (usually determined by branch size and structure).
Ensure efficient delivery of high quality and cost effective service; and,
Accept and process unsolicited orders over the phone or in person.
Review of reports, follow-up on client inquiries and requests to ensure appropriate account maintenance.
Provide the link and smooth functionality between IAs and operations departments both within the branch and at head office.
Ensure compliance regulations are adhered to.
Relationship Management:
Through effective communication skills, and an intermediate understanding of investment concepts, provides assistance to IAs and developing IAs (including client meetings) to ensure the book of business is developed.
May work with multiple IAs and/or developing IAs in order to assist them in maximizing opportunities and growing the respective book of business.
Role shift from focus on response to inbound service issues to implementation of outbound client service strategies.

Challenges:
Managing multiple tasks and priorities while ensuring appropriateness of unsolicited client trades based on client investment objectives. If any inconsistency, notify IA.
Time management.
Maintaining a professional presence while effectively dealing with many types of client and IA behaviours/expectations.
Knowledge:
Basic/intermediate knowledge of investment process and procedures. Pro-actively and professionally provides assistance to IAs in order to meet client needs and IA expectations.
Working knowledge of administrative process and procedures as contained in the Sales Administration Manual and OpsCentral website.
Possess:
University degree or equivalent experience
Computer literacy
CSC and CPH or related experience and willing to enroll at company expense
Current registration as an Investment Representative
18 months related work experience
Mandatory Training:
12 hours of ongoing compliance training every 3 year cycle to meet mandatory IDA Continuing Education Program requirements.
Basic Knowledge:
Proprietary products and services, and fund company offerings (from both a marketing and administration perspective).
Working with head office and branch operations and administration areas as required
Trust products, eg RRSP, RRIF, etc.
Compliance rules (proprietary and industry)
Business writing skills
Understand and read ADP and RIS reports to provide interpretation to IA or use as required
Trade processing rules
IA Business strategy execution
Coordinating marketing activities on behalf of several IAs
Fixed Income and money market product knowledge
Pathfinder literacy
Intermediate Knowledge:
Fund companies and funds offered in order to identify appropriate funds based on client needs
Highly functional with use of: RIS, StarQuote, Broker Pages, Intranet, Bloomberg, Internet, etc.
