Position Purpose: In this position the candidate will work directly with Marketing Managing Director, as well as other employees in the division and company on a variety of administrative and project and operational matters. Key Accountabilities: . Prepare expense reports. Keep a record of expenses reimbursed and records yet to be submitted. . Develop and maintain various charts, databases, and records for managers . Prepare and distribute memos, reports, and other correspondence. Ensures that typed communications leaving the department are neat, accurate, and grammatically correct. . Reviewing incoming mail, sort according to priority, answer and/or draft responses to routine mail, attach pertinent files as appropriate. Keep files on phases of correspondence. . Maintains calendars, make appointments, arrange meetings. . Take telephone calls, handling if possible, transferring if helpful or taking detailed messages as necessary. . Develop and maintain an orderly filing system for correspondence, records, reports, presentation, etc. for timely, accurate retrieval of information as required. . Make travel, car and hotel arrangements. . Order supplies for the office. . Maintain the confidentiality of all matters learned about by reason of the access of this position to such information. Job Requirements: (Knowledge/ Experience): . Minimum 1 year o fprevious administrativ experience . Maintain the highest standards of professional and ethical conduct with strong oral and written communication skills. . Excellent organizational skills and demonstrated ability to multitask; ability to prioritize work assignments while managing conflicting priorities and requests. . Excellent interpersonal skills with the ability to establish and maintain strong working relationships at all organizational levels. . Ability to take initiative and function independently while working in a team oriented environment with great attention to detail. . Strong computer skills required; proficient in Microsoft Office tools (i.e. Word, Excel, PowerPoint, etc.). . Ability to keep confidential matters to self.
