Opportunity
Position Summary: Under general supervision, the Patent Secretary/Marketing Assistant will provide a broad range of administrative and clerical support to the Marketing and Patents groups in the Technology Transfer and Intellectual Property Management department. Working in a highly visible and fast paced environment, the incumbent will apply broad understanding of the department's operational needs and objectives to ensure effective and efficient administrative operations. The incumbent will exercise independent judgment, initiative, and professionalism to anticipate workload demands, deadlines, and potential problems, and identify solutions/alternatives to meet/support customer needs.
DUTIES:
Independently update and maintain department databases by analyzing and summarizing moderately complex departmental actions and identifying key aspects in database notes
Under general supervision research companies, VC firms, and government agencies who are interested in working with LBNL and obtain general information; send out electronic mailings for invention promotions to targeted audiences pulled from keyword search of database; conduct web-based searches on companies that may be able to develop or use LBNL technologies and various market areas; occasional analysis of department activities in marketing, licensing, and patenting using the department database; update department content and manipulate images for the department website.
Maintain extensive paper and electronic files.
Assist legal professionals and administrative staff with general patent case management such as docketing actions for patent group, review and log US Patent and Trademark Office (PTO) mail, correspondence from outside counsel, and actions taken by in-house patent practitioners, receive and report invention disclosures, prepare and receipt of election of title letters, set up new case files and notify DOE of patent applications and disclosures.
Assist with general correspondence preparation (merge letters & macros), some technical typing, assistance with preparation and transmittal of patent legal forms, Fed-Ex and Express Mail mailings, filing, faxing, copying, document scanning and other tasks as needed. Maintain patent records.
Act as receptionist for the department.
QUALIFICATIONS: Essential
Minimum of 4 years of administrative assistant experience or a combination of education and experience
Strong organizational skills
Ability to manage multiple projects and competing demands
Excellent attention to detail using patent-specific software and forms are required.
Incumbent must be able to communicate clearly in writing and orally.
Ability to follow precise instructions is essential.
Ability to work cooperatively with internal and external patent professionals, and with LBNL & non-LBNL scientific and administrative staff.
Experience using Microsoft Word is essential. Excel, PowerPoint, Dreamweaver, and HTML, is strongly preferred. Familiarity with PowerPoint and Oracle a plus.
Marginal
Some college-level education in the sciences preferred.
Experience in a law office or in support of patent practices
