Market Position: ADMINISTRATIVE ASSISTANT Reports to: Diana LaRocco at or Classification: Administrative (Non-Exempt) Location: Office Hours: 8:00 a.m. - 5:00 p.m., Monday through Friday (Some overtime may be required) POSITION SUMMARY: The Administrative Assistant assists with the President, General Manager, and Senior Financial Manager. The applicant will be under the direct supervision of the Senior Financial Manager. MINIMUM JOB REQUIREMENTS: High School Diploma or GED Associate's Degree in Accounting ESSENTIAL FUNCTIONS: -Excellent computer skills, including Word, Excel, and PowerPoint in a Microsoft Windows environment (Access also preferred) -Excellent oral and written communication skills (Both English and Spanish preferred) -General knowledge of various employment laws and practices -Excellent interpersonal skills and a strong work ethic -Ability to accurately follow instructions -Must be highly motivated, detailed oriented, and have excellent organizational skills -Must be able to use discretion and maintain confidentiality -Type at least 60 wpm and exhibit a proficiency in using a ten-key by touch -Must be able to identify and resolve problems in a timely manner -Must be able to gather and analyze information skillfully, and -Adaptable to changing responsibilities and be able to work in a team -Maintenance of checking accounts and invoices -Responsible for subsidiary ledgers: cash disbursements, cash receipts, accounts payable, and journal entries for adjustments to the general ledger -Prepares monthly reports that include balance sheet audits and reconciliation of accounts payable, accounts receivable, payroll, and bank statements. -Verifying the accuracy of invoices and other accounting documents or records. -General Ledger maintenance -Prepare bank reconciliation -Maintain all leases and keep Company licenses up to date -Sort incoming mail -Learn all matters related to WIC -Handle day to day telephone inquires -Assist with special projects
