Administrative Assistant needed to provide support to a team of financial services professionals in a large hub office. A high level of professionalism, the ability to multi-task, strong communication skills and software applications proficiency required.
Duties may include:
* Provide administrative workflow support to 50 Wealth Management Group associates * Support Business Area Supervisor and Branch Operations Manager in ensuring that all regulatory standards are met in the hub location for select associated persons - plan & facilitate quarterly meetings; develop internal communications; implement action items; maintain gift, check, and complaint logs * Process mail and incoming correspondence in accordance with compliance and document routing procedures * Set up and maintain various files, and tracking systems * Assist management with space planning, coordinating training plans, meeting deadlines, and ideas to improve the service model and employee experience * Create internal/external correspondence, presentations and spreadsheets as assigned * Compile data, perform research & analysis as assigned * Create correspondence and/or log activities in contact management system (Siebel) * Identify and implement process improvements to improve efficiency & quality * Communicate and manage administrative changes affecting various roles including management and the field * Work as a team with other administrative staff and management to accomplish goals and maintain workflow for the area * Make routine travel arrangements and complete expense reports * Order and maintain office supplies and marketing materials * Schedule and set-up meetings/conference calls/catering as required * Act as liaison for office facilities and maintenance issues * Act as liaison for vendors and ensure appropriate coding and payment of office-related invoices * Lead & participate in other special projects as dictated by business needs
* High school diploma required, some college or college degree preferred * Minimum of 5 years related experience required * Proficiency in Outlook, Word and Excel required * Ability to understand financial concepts and terminology is a plus * Experience in Siebel preferred * No relocation offered
